Administrative Assistant II
Duties and Responsibilities: Provide administrative support to the Director of Social Services Department. Process Human Resources forms coordinating with County HR. Coordinate the positing of vacant positions, process applicant pools and coordinate background checks, references, and wage requests with County Human Resources. Act as a liaison between County HR and DSS Director, Program Administrators, Program Managers and Supervisors regarding all vacancies. Positions serves as Clerk to the Board of Social Services. This requires regular contact with board members, department staff, media, and county/community agencies. Position is responsible for meeting arrangements and notifications, preparation of meeting materials, recording of meeting minutes, and other meeting related tasks. Position serves as liaison with the county and the Social Service Commission concerning Board terms and appointments.
Qualifications: Considerable knowledge of office practices and techniques, ability to communicate effectively orally and in written form, professional representation of the Director’s Office and Board of Social Services, proficient use of computer equipment and software, ability to maintain satisfactory working relationships with in-house personnel, general public, media, and community affiliations, and thorough knowledge of all agency and community programs and services.
Completion of high school or equivalent and four years administrative/office management experience; or completion of a two-year secretarial or business administration program and two years of progressively responsible secretarial or clerical/administrative/office management experience; or an equivalent combination of education and experience is needed.
Knowledge/understanding of the mission, scope and work performed by the department would be beneficial as would certification as a Notary Public.
