Deputy Register of Deeds - Passport Agent

Duties and Responsibilities: This position Receives, certifies, records, indexes and cancels legal documents; issues various legal documents (i.e., deeds, deeds of trust, assumed business names) assists citizens and legal representatives with the location of various office records. Under the direction of The Register of Deeds office, the Passport Acceptance Agent provides a high level of customer service and performs a range of administrative tasks related to the acceptance/execution of the passport application for new passports, renewals, lost passports, and child/minor passports. The Passport Acceptance Agent is responsible to assure all materials and steps needed to process the passport application meet the required guidelines on behalf of the U.S. Department of State. These include taking and processing photographs, verification of U.S. citizenship documents (birth certificates, drivers licenses, etc.), reviewing the application to verify all required information is provided, and collecting passport fees. The passport agent is required to interpret passport policies related to the passport application process and to resolve customer issues within established policies and procedures. The desired candidate is detail-oriented, customer-focused, and capable of handling confidential information with integrity. Performs basic clerical work of a legal nature in receiving, recording, indexing, and cancellation of legal documents; does related work as required.  Work is performed under regular supervision.  Must attend work regularly.  Reports to the Register of Deeds.

 

Qualifications:  Some knowledge of the functions and procedures of the Register of Deed’s Office; some knowledge of the North Carolina General Statutes as related to matters jurisdiction of this office; some knowledge of the nature and content of a variety of documents processed by office; proficiency with computer programs such as Microsoft Office; ability to pay close attention to detail within fast-paced work environment; ability to attend work regularly; excellent interpersonal skills required.

 

Requirements:

  • Must be eighteen (18) years of age or older.
  • Must be a U.S. Citizen or U.S. non-citizen Nationals.
  • Must be a permanent full-time or part-time employee (not temporary, contractual, ad hoc, or volunteer)
  • Are not on parole or probation related to any Federal, State, or local felony or misdemeanor related to breach of trust or moral turpitude (i.e., embezzlement, document fraud, drug offenses, or dishonesty in carrying out a responsibility involving the public trust)
  • Not presently under indictment for any Federal, State, or local felony or misdemeanor related to breach of trust or moral turpitude.
  • Free of any Federal, State, or local felony convictions or misdemeanor convictions related to breach of trust or moral turpitude.
  • Must successfully complete the required training and testing to become certified to accept passport applications.

 

Special Requirements: If hired, the applicant must successfully complete the required training and testing to become certified to accept passport applications.

Within 2 years of Hiring, must attend basic Register of Deeds School through the NC School of Government toward certification.

 

Pre-employment drug test, SBI Fingerprinting and background checks required of finalist applicants.
